Privacy Policy

SchoolPix provides school photography and related products to families and schools in British Columbia. We protect personal information in accordance with the BC Personal Information Protection Act (PIPA).
This policy explains what information we collect, why we use it, and how we protect it.
1) Information we collect
Depending on the service, we may collect:
Student and school information - student name, school, grade/division, student or pupil number, and limited roster information provided by the school.
Photographs - individual portraits, group photographs and retake photographs.
Customer information - parent/guardian name, email address, phone number, mailing address and gallery/account information.
Order information - products ordered, delivery information and transaction details.
Communications - emails, forms and customer-service messages.
Website and gallery information - information needed to operate our websites and galleries, such as Access Code activity, cookies and basic technical information.
Payments are processed by our payment provider. SchoolPix does not receive or store complete credit card numbers or security codes.
2) How we use information
We use personal information as reasonably necessary to:
-organize and photograph students on Photo Day and Retake Day;
-create and manage private online galleries;
-provide Access Codes and communicate with families;
-process, print and deliver orders;
-provide customer service and resolve order issues;
-provide school-requested photographs and files;
-operate, secure and improve our photography services; and
-meet legal, accounting and record-keeping requirements.
We do not sell personal information.
We do not use student photographs for SchoolPix advertising, promotional materials or social media without appropriate permission.
3) Information provided to schools
Schools may provide SchoolPix with limited student information needed to organize Photo Day and identify photographs.
SchoolPix may also provide photographs and necessary student information to the school or its authorized service providers for school-requested purposes such as:
-yearbooks;
-MyEducation BC (MyEdBC) or other student records;
-student ID cards; and
-Grade 7 or leaving-ceremony materials.
We provide only the information reasonably required for the applicable purpose.
4) Service providers
We use service providers to operate our galleries, process payments, produce photographs, deliver orders, send communications, and provide secure technology and storage services.
These may include GotPhoto, Stripe, professional photo labs, shipping carriers, email providers and cloud/IT providers.
We provide service providers only with information reasonably necessary for the services they perform.
Some service providers may process or store information outside British Columbia or Canada. Information processed in another jurisdiction may be subject to the laws of that jurisdiction.
5) Children's privacy & gallery security
Most people photographed by SchoolPix are minors, so we take additional care with student information and photographs.
Individual student galleries are protected by unique Access Codes and are not intended to be publicly listed. Access Codes should be kept private and shared only with people authorized to view the student's photographs.
6) How long we keep information
We keep personal information only as long as reasonably required for the purposes for which it was collected and for legitimate legal or business requirements.
Online galleries are available for a limited period. Photographs may be retained after a gallery closes to support late orders, replacement orders and customer service, but archive availability is not guaranteed.
Order and accounting records may be retained as required for tax, accounting and legal purposes.
When personal information is no longer reasonably required, we delete it or remove identifying information from it.
7) Security
We use reasonable physical, administrative and technical safeguards appropriate to the information we hold, including access controls and secure service providers.
No electronic storage or transmission system can be guaranteed to be completely secure. If a privacy incident occurs, we will take appropriate steps to contain and address it in accordance with applicable requirements.
8) Cookies
Our websites and GotPhoto galleries use cookies and similar technologies needed to operate features such as sessions, galleries and shopping carts.
Our service providers may also use analytics or performance technologies as described in their applicable notices. Browser settings can be used to manage cookies, although disabling some cookies may affect website functionality.
9) Your privacy rights
Subject to applicable law, you may:
-request access to personal information we hold about you or your child;
-request correction of inaccurate information;
-withdraw consent to optional uses of personal information; or
-ask us about deletion of information that is no longer required.
We may need to verify your identity before responding to a privacy request. Some information cannot be deleted immediately where we are required or permitted to retain it for legal or business purposes.
You may unsubscribe from optional marketing emails at any time. Service messages such as order confirmations and download links are sent as necessary to complete your order.

Please include “Privacy Request” in the subject line for access, correction or deletion requests.
If you have a privacy concern that we are unable to resolve, you may contact the Office of the Information and Privacy Commissioner for British Columbia (OIPC).
11) Changes to this policy
We may update this Privacy Policy when our services, practices or legal requirements change. The current version will be posted with its effective date.
